CPA License Tracking for Your Whole Firm
Every accounting firm has someone who has to make sure every partner's and staff CPA's license stays current — across however many states they're licensed in. One missed renewal slows down engagements and creates real regulatory risk, and most firms track it today by spreadsheet. A spreadsheet fails in three specific ways.
246 of 246 dated records across this site's datasets (renewal deadlines, CPE hours, reinstatement, renewal fees) were individually re-checked against their source within the last 30 days — see exactly how we verify every deadline.
Every hour completed. The filing still missed.
Where a spreadsheet (and an individual CPA's own inbox) falls short:
Multi-state blind spot. A state board only reminds a CPA about the license held with that board — nobody sends a nudge about the other one or two states the same person might also be licensed in. Nothing is watching the full multi-state picture except the CPA themselves, one inbox at a time.
No firm-level visibility. The partner or admin who actually carries the regulatory risk for the firm never sees any of this — only the individual licensee's own inbox gets the reminder. If that person doesn't forward it, changes their email, or leaves the firm, the firm has zero visibility until a renewal is already missed.
Filing vs. hours. CPE-hour tracking tools track whether staff completed their continuing-education hours. That's a different event from whether the actual renewal filing with the state board happened. Finishing every CPE hour and still missing the filing deadline is a real, common failure mode — this product is about the filing, not the hours.
What you get
A firm-wide view that answers what a spreadsheet can't: who's current, who's at risk, and who needs to act before a deadline — for every staff CPA and the firm's own registration, sourced to the same codified statute or rule we verify for every free state page on this site (see exactly how we verify every deadline).
Any individual CPA can already get free reminders on their own — what a firm gets here is the roster-level accountability view nobody's personal inbox provides, in one place.
Reminders aren't limited to email. Connect Slack or Microsoft Teams and your admin gets a daily digest of newly-due renewals posted straight to the channel your team already watches, included on every paid plan.
Preventing a missed deadline is the first job; being able to prove you tried is the second. The dashboard's Reports tab gives you a Compliance Summary and a full audit trail — a dated record of every roster change and every reminder actually sent — export the summary as a CSV, and save the full record as a PDF, for a board inquiry or your own file. Free on every tier, no export limit.
What Practice Privilege Check actually does
A different question from renewal dates: can this CPA provide this specific service in this specific state right now, without a local license — and what has to happen first?
- Pick a service type: Tax; Attest (audit, review, or other attest); or Other non-attest (consulting, advisory).
- Watch for the attest gap: attest work frequently triggers a firm-registration requirement where tax work doesn't — that's the most common real-world mobility mistake, and this catches it.
- What you'll need to confirm: the license is active and in good standing, and the CPA meets substantial equivalence (150 semester hours, one year of experience, the Uniform CPA Exam). We can't verify either input ourselves — the answer is only as good as what you tell it, same honesty standard as every renewal date on this site.
Verified in all 55 U.S. jurisdictions today, both for the individual question above and a separate firm-level registration check — does the FIRM itself need to register somewhere it has no office, even when the individual CPA is covered.
The individual check is free on every tier, for any account — a free signup is all it takes, no card, no paid plan required. The firm-level check and the multistate coverage map are part of a paid plan. Staff across more than one state? Scope, plainly stated: the license renewal dates are the part we verify against actual state law, the same way we already do for individuals. The dashboard also has a CPE Hours tab where your firm can log completed hours against each state's own requirement — that log is your own self-reported record, not independently verified, and we keep it clearly labeled and separate from the sourced renewal dates. We won't blur the two — self-reported hours and sourced dates staying visibly distinct is the whole reason to trust this site.
Pricing
Roster, Calendar, CPE Hours, and individual Practice Privilege Check are free for any firm, up to 3 staff, no card required, no time limit. Paid tiers add the Map and the firm-level registration check — every paid tier gets the identical feature set; the only difference between them is how many staff it covers, nothing is held back on a cheaper plan.
Which one is you?
Tracking just your own license, not a firm roster? The free individual reminders on our homepage already cover that at no cost, unchanged. CPE-hour tracking and Practice Privilege Check are also free for a solo CPA — create a free account to use them.

How it actually works
Deadline accuracy comes from the same sourcing standard every free page on this site already uses — the codified statute or rule where we could confirm it, and clearly labelled where we could only confirm it against the board's own page — not a recurring human check-in on each staff member's status.
Card checkout works today across every tier, Essentials through Enterprise — create your firm account above and pick a plan, no invoice or sales call required. More than 35 staff? Contact us -- no formula, we'll work out what fits. Not ready to create an account yet? Leave your email instead and we'll follow up.
Not ready yet? Just leave your email
No account, no commitment — we'll follow up with anything a firm admin should know before signing up.

Questions firms ask before signing up
Is the license status actually verified, or just self-reported?
The renewal DATES are verified the same rigorous way every free page on this site is: sourced to the codified statute or rule where we could confirm it, and clearly labelled where we could only confirm it against the board's own page, cited and rechecked on our freshness cadence — see exactly how. What this is not is a recurring human lookup of each staff member's individual license status — there's no manual check-in against the state board or CPAverify.org on your behalf. Signup itself is self-serve: your admin adds the roster directly, and reminders start right away for each person — no confirmation step to wait on. Each staff member still gets one transparent email the moment they're added, naming your firm and with an equally prominent one-click opt-out.
What if my staff are licensed in a birth-month or “bring your own date” state?
Still tracked the same way it works on the free tier: that staff member enters their own birth month or license expiration date once, and it shows up on your roster view like everyone else's.
Can I cancel anytime?
Yes. Roster, calendar, CPE Hours, and individual Practice Privilege Check are free with no card required and no time limit. If you upgrade for the map and firm-level registration check, you can cancel that subscription at any point — there's no contract to get out of, and your account just drops back to the free tier at the end of the period you already paid for, with no refund for the time already paid — you keep full access through the end of that period either way.
Which plan should my firm pick?
Whatever covers your current staff count — Essentials (up to 5), Growth (up to 10), Professional (up to 20), or Enterprise (up to 35). Every tier has the exact same feature set (Roster, Calendar, Map, CPE Hours, Practice Privilege Check); the only thing that changes between tiers is how many staff it covers, never what it can do. Email us and we'll move you up; there's no self-serve tier change yet.
I'm a single CPA, not a firm — is this for me?
This page is about the firm tier: a roster for whoever is tracking multiple staff CPAs. If you're only tracking your own license, the free individual reminders on our homepage already cover that at no cost, unchanged. CPE-hour tracking and Practice Privilege Check are also free for a solo CPA — create a free account to use them.
Do you track CPE hours too?
Yes — the dashboard has a CPE Hours tab where your firm can log completed hours against each state's own requirement. That log is your own self-reported record, not independently verified, and we keep it clearly labeled and separate from the sourced renewal dates — we won't blur the two.
How is this different from my staff just signing up for free individually?
Nothing stops them from doing that today, and it's not a bad idea either way. What the firm tier adds is the view your admin doesn't get from 20 separate free sign-ups: one roster, one place to see who's current and who's at risk, plus the firm's own registration — not 20 inboxes to hope someone's watching.
Who actually sets up my staff -- your team, or us?
You do, directly, through the self-serve dashboard: your admin adds each staff member's name, email, state, and license type, and their reminders start right away — no waiting on them to confirm anything, so your firm's coverage never has a silent gap. There's no concierge onboarding where our team collects a roster by email and enters it for you. Each staff member gets one transparent email the moment they're added, naming your firm and with an equally prominent one-click opt-out, so nobody is tracked silently.
