Privacy Policy

The short version: we collect only what's needed to run the reminder and license-tracking service you or your firm signed up for, we never sell or rent it, and every email gives you a one-click way to stop. Firms have a few more data categories than individuals (a password, a staff roster, CPE hours, billing status) -- all covered below.

What we collect — individual reminders

Only what's needed to remind you about your deadline:

• Your email address — so we can send the reminders.
• Your state — to apply the correct renewal rule.
• A few deadline details where the state's rule requires them — for example, your birth month/year in states whose renewal cycle depends on it. These are used only to compute your exact deadline.
• Your first name (optional) — only if you choose to provide it, so reminders can greet you by name.

We do not build a profile of who you are from this.

What we collect — firm accounts

A firm account collects a few things an individual signup doesn't:

• Firm name and admin email — to create and identify the account.
• A password, if you set one — stored as a salted, one-way hash. We cannot see or recover your actual password, and never store it in plain text.
• CPE (continuing education) hours you log — date, hour count, and category. This is your own self-reported record, not independently verified, and is used only to show your progress against your state's requirement.
• Practice Privilege Check queries and completions — which states and service type you looked up, and any completion you mark, used only to show that determination back to you.
• Billing status — which plan you're on and identifiers Stripe assigns to your account (see "Payment information" below). We do not store card numbers.

If your firm adds you to its roster

A firm admin can add staff directly — meaning some people in our system did not sign themselves up. If that's you: your firm's admin provided your name, email, state, and license type to track your renewal on the firm's behalf. We email you directly the moment you're added, naming the firm that added you, with a one-click link to opt out that works exactly like the individual unsubscribe link below — nothing about being added by someone else changes your ability to stop being contacted.

Payment information

Paid firm plans are billed through Stripe. When you check out, you enter your card details directly on Stripe's own secure checkout page — we never see, receive, or store your card number. What we do store is the plan you're on and the Stripe-assigned customer and subscription identifiers needed to keep your account's access in sync with your billing status.

Signing in with Google

If a firm chooses "Continue with Google" instead of a password, Google shares your email address and account identifier with us so we can recognize you on return visits. We do not request or receive access to your Google Drive, contacts, or anything beyond basic sign-in identity.

How we use it

Your information is used solely to operate the service you or your firm signed up for: sending confirmation and reminder emails, showing your roster/CPE/renewal status, processing billing, and letting you stop any of it at any time. We never use it for advertising, and never for any purpose you didn't ask for.

How it's stored and protected

Your data is encrypted in transit (this site and every form use HTTPS) and stored in a private database on Cloudflare's infrastructure. Passwords are never stored in plain text. It is never published on this website, never included in our public code, and never exposed to other visitors. Access is restricted to the service itself.

Who we share it with

We do not sell, rent, or trade your information to anyone. We rely on a small number of service providers strictly to run the service:

• Cloudflare — hosting for the dynamic service, our database, and bot/abuse protection.
• GitHub (Microsoft) — hosts the public, static pages of this site behind Cloudflare's network. No account data is stored there; like any web host it sees the standard request logs (such as IP address) for those page loads.
• Our email delivery provider — to send confirmation, reminder, and account emails to your inbox.
• Stripe — to process payment for paid firm plans. Stripe receives your card details directly; we do not.
• Google — only if you choose "Continue with Google" to sign in, to verify your identity.
• Our chat assistant — anything you type into the "Ask Deadline-Radar" chat bubble is sent to our own assistant service to generate a reply, along with your IP address (used only to apply a per-visitor rate limit, so one visitor asking a lot of questions doesn't use up everyone else's) and a randomly generated chat id held in your browser so a conversation can continue across pages. None of this signs you in or links the conversation to any account.

These providers process your data only to deliver the service on our behalf, never for their own marketing.

Cookies and analytics

We do not use advertising cookies or cross-site trackers, and nothing on this site sets a tracking cookie by default. Signed-in firm and individual sessions use a strictly-necessary cookie to keep you logged in — not for tracking. We may use privacy-first, cookie-less analytics (such as Cloudflare Web Analytics) to understand aggregate traffic — this does not track you across the web or identify you personally. The "Ask Deadline-Radar" chat bubble also uses your browser's own local storage (not a cookie, and never sent to anyone but our own assistant service) to hold your chat id, the conversation itself, and whether you left the panel open — so it's still there if you switch pages. This stays on your device; clearing your browser's site data removes it.

Your choices

Every reminder email includes a one-click link to stop all reminders instantly. Using it permanently removes and suppresses your address so you won't be contacted again. You may also contact us to request access to, correction of, or deletion of your information.

Data retention

We keep your information while you're subscribed and actively being reminded, or while your firm account is active. When you unsubscribe — whether through your own one-click link, or because a firm admin removes you from their roster — we stop contacting you, but we retain a suppressed record of your address so it is never re-contacted and so a firm's roster history stays accurate. Billing records are retained as required to maintain accurate account and payment history.

Children

This service is intended for licensed professionals and is not directed to anyone under 16. We do not knowingly collect information from children.

Changes to this policy

We may update this policy from time to time. The "last updated" date below always reflects the current version.
